Refund Policy

01. Phase-Based Projects and Cancellation

Nodezet Solutions executes custom software development, mobile architectures, and system engineering on a structured, phase-based milestones delivery model. Project contracts may be terminated by either party by serving a 30-day written cancellation notice. Upon receipt of such notice, all active developmental workflows are paused, and the client will be invoiced and billed only for the technical hours, code commits, and development cycles completed up to the date of formal cancellation.

02. Retainer Fee Conditions

To initiate engineering analysis, assign technical leads, reserve infrastructure resources, and formulate initial scoping assets, Nodezet Solutions requires a setup retainer fee as specified in the SOW (Statement of Work). Except as otherwise explicitly agreed in writing or in cases where development operations have not commenced in any form, setup retainer fees are strictly non-refundable as they represent incurred labor costs during the pre-engineering configuration phase.

03. Refund Eligibility Criteria

Refund requests for specific milestone payments are evaluated exclusively if there is a documented, material deviation from the written technical specification document (FSD) verified during the User Acceptance Testing (UAT) phase. To invoke a claim, the client must submit a clear, reproducible log of the system failures, missing endpoints, or layout anomalies. Claims based on subjective aesthetic preferences or unwritten requirements are not eligible for refunds.

04. Opportunity to Cure & Re-work Period

In the event that the client reports a verified technical deficiency during the evaluation window, Nodezet Solutions reserves the right to an "Opportunity to Cure." We will be granted a standard 30-day re-work window (unless otherwise specified in the MSA) to rectify, rebuild, or adjust the codebase to align with the agreed technical specifications. Refund evaluations will only proceed if the reported defects persist after the conclusion of this re-work period.

05. Third-Party Infrastructure Costs

During technical execution, we may procure third-party resources on the client's behalf, including cloud servers (AWS, GCP, Render), domain names, external database clusters, payment gateways, and API subscriptions. All expenses related to such third-party purchases, subscriptions, or hardware allocations are completely non-refundable, and clients must directly settle these with the external vendors or reimburse Nodezet Solutions in full.

06. Refund Processing and Windows

Approved refund requests are processed within 14 business days from the date of mutual written settlement sign-off. Refunds will be disbursed to the original payment source, credit card, or corporate bank account used during the initial transaction. Nodezet Solutions is not responsible for transaction delays, international conversion markups, or intermediary banking charges applied by recipient financial institutions.

07. Project Delays and Schedule Impacts

Technical dependencies require active client feedback. If a project timeline shifts or delays occur due to client feedback cycles, changes in business requirements, slow asset delivery, or database credential blockages, all refund warranties, milestone timeline guarantees, and penalty clauses within the contract are rendered void.

08. Dispute Settlement and Technical Mediation

Before initiating any external chargeback requests or legal claims, clients agree to engage in good-faith technical mediation with our engineering and operations leads. This process involves evaluating the codebase against the SOW deliverables to find a mutually agreeable resolution.
